# Members & invitations

URL: https://docs.ablyft.com/guides/projects-and-teams/members-and-invitations/

> Invite colleagues to your team, manage their roles and remove them.

Everyone who works in ABlyft is a **member** of your team and has one of four roles. Members of a team can open all
projects of that team. Invitations and member management are done on one page.

## Open User Management

1. Open the user menu in the top bar and click **Team settings**.
2. In the sidebar, click **User Management**.

The page is available for the roles **Admin** and **Owner**. It shows two tables: **Users of Team …** with the current
members, and **Pending User Invitations for Team …**.

## Invite new users

1. Click **Invite new user**.
2. Enter one or several addresses under **Email address(es)**, separated by commas or new lines.
3. Choose a role (**Viewer**, **Member**, **Admin** or **Owner**). The preselected role is **Member**. **Owner** is only
offered if you are an owner; admins see the other three. See
[Roles & permissions](https://docs.ablyft.com/guides/projects-and-teams/roles-and-permissions/) for what each role can do.
4. Click **Submit**.

ABlyft sends an email to each valid address and confirms with "Invitations sent to N user(s)". Addresses that are not
valid email addresses are ignored. If none is valid, you see "No valid email addresses found".

> **Team size limit:** The number of members depends on your plan. If the limit is reached, the dialog shows "Your plan does not allow you to
> invite new users" and the form is disabled. Contact ABlyft to upgrade.

## What the invited person does

An invitation is valid for **7 days**. The link in the email is personal.

* **New to ABlyft:** the link opens **Accept Invitation**. The email address is fixed. Fill in the form and click
**Accept invitation and sign up**. ABlyft creates the account, adds it to your team and signs the person in.
* **Already has an ABlyft account:** the person receives an email and a notification in ABlyft with the button
**Accept invitation**. Opening the link while signed in adds them to your team immediately.
* **Your team uses single sign-on:** the link sends the person to your identity provider instead,
  see [Single sign-on](https://docs.ablyft.com/guides/projects-and-teams/single-sign-on/).

> The invitation only works for the invited email address. If someone is signed in with a different account, ABlyft
> refuses it.

## Pending invitations

Open invitations are listed in **Pending User Invitations for Team …** with the email address, role, when it was sent
and when it **expires**, and who invited. For each invitation you can:

| Action | What it does |
| ---------- | -------------------------------------------------------------------------------------------------------------------------- |
| **Resend** | Sends the email again with a fresh link and a new 7-day validity. |
| **Edit** | Changes the role of the invitation before it is accepted. Invitations for the role **Owner** can only be edited by owners. |
| **Delete** | Withdraws the invitation. |

You can also select several invitations and delete them together.

> If you invite an address that already has a pending invitation, ABlyft does not send a second email. Use **Resend**
> instead.

## Change a member's role

In **Users of Team …**, click **Change role** next to a member, choose **Viewer**, **Member**, **Admin** or **Owner**
and save. The change applies immediately. You cannot change your own role.

Only owners can give someone the role **Owner** or change the role of an owner. For admins, **Owner** is not in the list and
the owners' rows have no **Change role** button. Trying it anyway shows "Only owners can change owner roles."

## Edit a member's details

Owners can click **Edit** next to another member to change the name and email address. If you change the email address,
the person has to verify the new address again.

## Remove members

1. In **Users of Team …**, click the trash icon (**Remove**) next to the member and confirm. To remove several people,
select them and use **Remove selected users**.
2. The person loses access to the team and all its projects.

Removing someone only removes them from your team. Their ABlyft account itself remains, as it may be used in other
teams. You cannot remove yourself. Only owners can remove owners: for admins, the owners' rows have no **Remove**
button, and **Remove selected users** skips owners.
